01Who we are and what we do

Xylentor Systems is a remote digital systems studio that helps small businesses organize cloud-based files, improve everyday workflows, configure standard productivity tools, and set up simple no-code automations. Every service is delivered online, and each engagement is scoped, agreed, and confirmed in writing before work begins.

We are a service provider, not a software vendor. We do not sell software licenses, hardware, or hosting. Where a service involves a third-party platform, such as a cloud storage provider or an automation tool, you remain the account holder and are responsible for any subscription fees charged by that provider.

02Acceptance of these terms

By using this website or engaging our services you confirm that you are at least eighteen years old, that you have the authority to enter into an agreement on behalf of yourself or the business you represent, and that the information you provide to us is accurate and complete.

If you do not agree with any part of these Terms and Conditions, you should not use the website or request our services. Your continued use of the website constitutes ongoing acceptance of the current version of these terms.

03Scope of services

The precise scope of each engagement is defined in the written proposal or blueprint we share with you before work starts. That document describes the deliverables, the estimated timeline, and the agreed price. Anything not expressly listed in the proposal is considered outside the scope of that engagement.

Because our services are advisory and configuration-based, results depend in part on the accuracy of the information you provide and on your cooperation during the project. We will always act with professional care, but we do not guarantee any specific business, financial, or operational outcome.

  • Requests that materially expand an agreed scope may require a revised proposal and price.
  • Work that depends on third-party platforms is subject to the availability and terms of those platforms.
  • Where a task cannot be completed as originally described, we will notify you promptly and suggest alternatives.

04Quotes, fees, and payment

Prices displayed on this website are starting prices and serve as a general guide. The final price for your project is the amount stated in your written proposal. Fees are payable directly to Xylentor Systems for completed consulting, configuration, and digital support services.

Unless otherwise agreed in writing, project fees are invoiced on acceptance of the proposal, and monthly support plans are billed on a recurring monthly basis until cancelled. Additional details on refunds and cancellations are described in our Refund and Cancellation Policy.

05Your responsibilities

To allow us to deliver our services effectively, you agree to provide timely access to the relevant accounts, files, and information, and to respond to reasonable requests for clarification. You are responsible for maintaining your own backups and for ensuring that any access you grant us complies with your internal policies and any applicable law.

  • Keep your account credentials secure and revoke any temporary access after a project ends.
  • Ensure you have the right to share any data, files, or materials you provide to us.
  • Review deliverables promptly and raise any concerns within the review window described in your proposal.

06Intellectual property

Templates, written instructions, diagrams, and other materials we prepare specifically for you become yours to use within your business once the corresponding fees are paid. Xylentor Systems retains ownership of its underlying methods, reusable frameworks, and general know-how. Further detail is set out in our Intellectual Property Policy.

07Third-party platforms

Our services frequently involve configuring tools operated by third parties. We do not control those platforms and are not responsible for their performance, pricing changes, downtime, or discontinuation. Your use of any third-party platform is governed by that provider's own terms.

08Limitation of liability

To the fullest extent permitted by law, Xylentor Systems is not liable for indirect, incidental, or consequential losses, including lost profits, lost data, or business interruption, arising from the use of this website or our services. Our total liability for any claim connected to a specific engagement will not exceed the fees you paid for that engagement.

09Confidentiality

10Changes to these terms

We may update these Terms and Conditions from time to time to reflect changes in our services or in applicable requirements. The date at the top of this page shows when it was last revised. 11Governing approach and disputes

These terms are intended to be interpreted reasonably and in good faith. If a disagreement arises, both parties agree to first attempt to resolve it directly and amicably through written communication before pursuing any other course of action.
